Welcome to Smart Attendance for Odoo (the "App"). We are committed to protecting your privacy and ensuring that your personal data is handled in a safe and responsible manner. This Privacy Policy explains how we collect, use, and protect your information when you use our App.
1. Information We Collect
To provide our attendance tracking services, we collect the following types of information:
- Facial Data (Biometrics): We collect and process facial images during the check-in and check-out process. This is converted into a secure mathematical representation (face embedding) to verify your identity. We do not share your facial data with any third parties.
- Location Data (GPS): We collect your precise device location (GPS coordinates) when you attempt to check in or out to verify that you are within the designated geofenced boundaries of your workplace.
- Device Information: We collect a unique Device Identifier (UUID) to bind your employee profile to your specific smartphone, preventing unauthorized attendance logging from unapproved devices.
- Personal Information: We collect your Employee PIN, Name, and Attendance Logs (timestamps and hours worked) to synchronize with your company's Odoo ERP backend.
2. How We Use Your Information
We use the collected data strictly for the following purposes:
- To verify your identity using facial recognition during attendance logging.
- To enforce geofencing policies by checking your location against allowed work locations.
- To maintain accurate attendance records and synchronize them securely with your company's Odoo database.
- To prevent fraud by binding your employee account to your registered device.
3. Data Storage and Security
Your data is securely transmitted directly to your company's proprietary Odoo server using industry-standard encryption protocols. Facial embeddings are stored securely on your company's private database. We implement strict security measures, including API Keys and token validation, to protect your data from unauthorized access, alteration, or disclosure.
4. Camera and Location Permissions
The App requires explicit permission to access your device's Camera (for facial verification) and Location Services (for GPS geofencing). The App only accesses these sensors when you actively initiate a check-in or check-out request. We do not track your location or use your camera in the background.
5. Data Retention
Your attendance logs and biometric embeddings are retained by your employer according to their internal data retention policies. If you leave the company or request deletion, your employer's Odoo administrator can permanently delete your facial embedding and device binding from the system.
6. Third-Party Services
We do not sell, trade, or otherwise transfer your personally identifiable information or biometric data to outside parties. The data flows exclusively between the App on your device and your company's authorized Odoo server.
7. Changes to This Privacy Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy within the App. You are advised to review this Privacy Policy periodically for any changes.
